SPIRIT NORTHWEST Vendor Application

Thank you for the opportunity to work together to make this the best event possible.

Please read the Policies and Terms carefully.

Vendors (including Readers, Reiki providers, sound baths): list all types of products that will be sold or services that will be offered.

Vendors are those individuals, businesses, or groups selling tangible goods or services. This includes those who sell goods or services on a per-donation basis. The Vendor Room is open to the unbadged public.

SPIRIT NORTHWEST Vendor Policies

1. Franchise resellers (Mary Kay, Scentsy, Partylite, etc.) are prohibited.
2. A single vendor booth measures a 6’ table. Vendors may purchase more than one booth space but must fill any space purchased. There will not be space available behind or beside booths for extra storage; please plan accordingly. This is room for seating. Chairs are included in the price.
3. Your will be able to leave your setup intact overnight during the event.
4. Up to two vendors (commercial, business, or reader) are allowed per booth space. If two vendors share a booth, please include both business names on the application. 
5. Conference badges are available for an additional, discounted fee.
6. Load in/Load out times will be sent to approved vendors and must be strictly adhered to.
7. Selling or solicitation outside of your rented booth space is strictly prohibited. Please keep displays within your designated area.
8. Vendors must staff booths during all exhibit hours, arrive during their assigned setup time, and only tear down early if explicitly approved by Spirit Northwest.
9. Banners, signs, displays, and tents must not damage hotel property. Clean up your space before leaving—no trash or debris may be left behind.
10. The hotel has designated load zones. Please follow the directions, signs, and greeters.
11. Offensive or distasteful behavior, including promoting bias or hate, is strictly forbidden.
12. All vendors must comply with applicable laws and regulations at every level—local, state, and federal.

Terms and Conditions

1. Exhibit spaces are assigned only after registration is complete and payment is received. Spaces are held with completed payment.
2. Vendor fees are non-refundable, with limited exceptions at SPIRIT NORTHWEST’s sole discretion. Credit Card transaction fees will be withheld from any refunds.
3. The Operations Committee determines space assignments and are final. Specific locations are not guaranteed.
4. Vendors are responsible for all applicable taxes on sales and promotional activities.
5. SPIRIT NORTHWEST is not liable for injuries, theft, or damage before, during, or after the event. Vendors agree to indemnify and hold SPIRIT NORTHWEST harmless from such claims.
6. Vendors are liable for any loss, damage, or injury to staff or attendees caused by their actions or displays. They agree to indemnify SPIRIT NORTHWEST from resulting claims or suits.
